IAHCSMM's 2020 Annual Conference & Expo Cancelled Due to COVID-19 Concerns
For weeks, the International Association of Healthcare Central Service Materiel Management (IAHCSMM) has been carefully monitoring the COVID-19 (Coronavirus) situation and its impact on the upcoming IAHCSMM Annual Conference & Expo, which was to be held in Chicago, Illinois, April 25-29, 2020. Today, the IAHCSMM Board of Directors made the decision to cancel the conference due to health and wellness concerns for attendees and the community.
On March 12, Illinois governor Pritzker officially ordered a 30-day shutdown of public events in the state that would draw more than 1,000 participants, and he encouraged cancellation or postponement of all private and social events of 250 or more people until May 1. This recommendation aligns with recommendations from epidemiologists and other health experts regarding the COVID-19 pandemic. The health and safety of our attendees, speakers, vendors and community has always been IAHCSMM’s top priority. Cancelling our conference and expo was determined by IAHCSMM as the only prudent option and is in keeping with the Association’s mission and values of improving patient safety and meeting the needs of the healthcare environment.
We understand many of you will have questions about IAHCSMM’s next steps, including the refund process and the potential for alternative educational opportunities. Please be assured, we are working to address any concerns and provide more information as soon as possible.

Why did you cancel the IAHCSMM 2020 Annual Conference & Expo?
The health and safety of our attendees, speakers, vendors and community has always been IAHCSMM’s top priority. Cancelling our conference and expo was determined by IAHCSMM as the only prudent option and is in keeping with the Association’s mission and values of improving patient safety and meeting the needs of the healthcare environment.
Will the IAHCSMM Annual Conference & Expo by rescheduled for later in 2020?
Due to space and timing constraints, IAHCSMM will not be rescheduling this event for a later 2020 date. The next in-person IAHCSMM Annual Meeting and Expo will be held May 1-5, 2021, in Columbus, Ohio.
Will the conference be provided virtually?
IAHCSMM will be launching a virtual conference, to run May 22 - July 20. This offering will have on-demand video presentations, exhibitor interactions, live streaming events, and much more. Registration and continuing education is free to anyone who is currently certified or a member with IAHCSMM. Most exhibitors can also participate (also without any fees) and are highly encouraged to take advantage of interactive approaches to engage with the attendees. Will attendee and exhibitor registrations be refunded?
IAHCSMM will be providing registered attendees the option of transferring paid registration fees to the IAHCSMM 2021 Annual Conference & Expo, or receiving a refund in full. Notification of transfer of attendee registration or request for refund must be received by April 24, 2020. Any attendee refunds will begin within 30-60 days of initial request. Similarly, for exhibitors, IAHCSMM is offering 2020 exhibitors the opportunity to transfer paid fees for 2020 exhibit space to the 2021 Exposition. Exhibitors taking advantage of this transfer of funds to the 2021 conference will receive 10 additional priority points for 2021 booth selection. Commitments of transfer must be received by April 24, 2020, with 2021 booth selection to occur starting April 30, 2020. All exhibitor refunds will begin within 30-60 days of initial request. How can I cancel my hotel room reservation?
All attendee and exhibitor hotel reservations booked through the IAHCSMM housing links at the Hyatt Regency (151 E. Wacker Drive) or Swissotel Chicago (323 East W. Wacker Drive) will be cancelled and released, and no further action is required. If you made hotel or room accommodations outside of the IAHCSMM block, you must cancel directly with your housing provider. IAHCSMM is not responsible for any cancellation fees incurred for rooms booked outside of our established housing blocks at the Hyatt Regency or Swissotel hotels on Wacker Drive.
Will attendees and exhibitors be refunded for airline tickets or travel expenses?
We are unable to provide refunds for personally booked travel expenses. Please work directly with your airline, or if you purchased travel insurance, please contact your provider for information and next steps. In terms of air travel, many airlines are waiving change fees and updating their policies daily. To help support your request for a waiver of change fees or cancellation, we have prepared a letter from IAHCSMM’s Executive Director, Susan Adams, to use to help support your request. We apologize for any inconvenience and challenges this may cause you.
How can I attain the continuing education (CE) credits that I was planning on from my conference attendance?
IAHCSMM will have a virtual conference available free of charge to anyone who is currently certified or a member with IAHCSMM, from May 22 - July 20. This conference will provide a minimum of 15 credit hours worth of continuing education. Exhibitors will also be providing additional education credit as well. Attendee Registration is now open. I submitted a poster presentation for the conference. Will it still be displayed?
All IAHCSMM posters will be available online in our Poster Gallery, covering conferences from 2014 – 2020. In addition, IAHCSMM will be showcasing these poster presentations within the Virtual Conference online, available May 22 - July 20.
How does IAHCSMM plan to conduct the Annual Membership Meeting typically held during the conference?
IAHCSMM is evaluating options for holding its annual membership meeting virtually, as well as announcing the Board of Directors.
