View Full Version : Managing Surgery Supplies CS, OR, MM

Hello,
I am trying to put together a report for my senior administration on how most US hospitals are managing their surgery supplies and would appreciate any material management staff that would share how they are managing their surgery supplies.
What I would like if possible is statistics on how many hospitals are managing their surgery supplies with their CS dept or with their OR dept. From what I have been able to find out there are not many US Hospitals that manage their surgery supplies under their materials management group. It's usually the CS or the OR depts that manages the surgery supplies.
I appreciate any stats or how your hospital is managing it info sent my way.

my department (CS) has 2 individuals who manage the OR supplies - after 5 and on weekends my CS staff will retreive items the OR may need. We have the OR supplies primary location in the CS on one floor - the OR is a level below. The 2 supply techs are responsible for either special ordering or obtaining supplies from the hospital General Stores. They then stock the supply carts in the OR during the day, just prior to completing work shift and just before leaving on Friday PM to try to assure the OR has supplies for the weekend.
This is not the most ideal - because this is 2 different inventories and when supplies are transferred to the OR this must occur in the computer also - if not- supplies used/charged will not come from the OR inventory. Then supplies that are on automatic reorder will not come out of inventory when charged and will not be reordered.
Additionally, it is time comsuming for manual transfer of items from one inventory to another. It also takes carefully monitoring and staff that are very organized.

The inventory for Surgery is managed by C.S. in our hospital, although it is actually ordered by either the Materials Management Dept (stock supplies), or what we call the Perioperative Acquisitions Specialist (non-stock/special order). Materials will order under their inventory, which then is transferred to OR inventory as a C.S. member orders it from MM and MM delivers it. Items ordered by the PAS are ordered under the OR's inventory. The biggest problem we are having right now is transferring the stock items to OR and then charging them out so that it is coming out of the OR budget. The way it is set up right now, the supplies that come out of MM are taken out of the OR budget, but the profits from using those supplies are going to MM.

In our system the CS department manages the supplies for the OR. We utilize the "Just in Time" process to order product from our warehouse. All items are charged at that time through the OR cost center. This order is delivered directly to the CPD department and does not process or go through the logistics department. Some items come from our logistics area within the hospital or are special ordered. These are also ordered under the OR cost center.
The OR core personnel & anesthesia techs order a "JIT" order to keep thier minimal core inventory of supplies on the shelf, this is occasionally supplemented from the CPD area as needed.
Case carts are initiated in CS area then sent the OR for some instruments and some special products not kept in CPD.
