I am looking for anyone who could share his/her hospital policy regarding loaner trays. I am so upset with those reps bringing loaner trays and just dropping them in Decontam with no control at all. There is no one to check to see what is inside any tray. When the trays are open in Assembly, we usually find all kinds of integrators used in every hospital of the region. At least 5 layers of tape (steam, EtO and STERRAD) are attached to the sides and covers of trays. I never want to sterilize those trays with those nasty tapes. Imagine how it is to remove tapes from a set of 20-30 loaner trays!

Our policy here states that Vendors have a 48 hour time frame to get these trays here to our department with a fully readable count sheet. They must go over the trays with our SPD technican before signing off responsibility to SPD. SPD will then wash and prepare the trays and sterilize for the surgery. After surgery SPD is still responsible for re-washing and recounting with the vendor before signing off possession. Now this is in a perfect world, this never really happens 100% of the time. So our back-up is to fall back on the nurse managers to sign off on trays that come in 6 hours before a case, or incomplete! And they hate to sign off on such issues which then puts alot of heat back on the Vendors. Second Vendors love to charge hospitals for pieces missing, this issue of providing a inventory sheet null and voids that. It has really helped us alot when it comeas to Vendors who dont want to do their jobs, but are looking for a fat paycheck.

Reps bring a lot of incomplete trays to my facility, and only God knows how much they charge for the pieces that were missing even before we received the trays!

How do others handle sterile trays to other hospitals, or do you not allow this?

I also would like to see other policies on how to handle loaner trays.

Maybe the IAHCSMM web master could established a site here so users could upload sample policies and those in need could download same. A win/win.

Hi Everybody!
I was wondering if any of you wonderful people who are sharing your policies so freely could shoot me some copies too. Our SPD and OR are both under new management (less than a year) and we are sorely in need of an enforceable vendor policy. With that said, does anyone have any problems getting the vendors to cooperate? The ones here seem to be experts at all of those "back door" tactics...

We do not use any tray sterilized in other hospitals. Everything is opened washed and sterilized.
